1. Data controller

The controllers of the personal data collected through the waantransport.pl website are, jointly (joint controllers within the meaning of Article 26 GDPR): WAAN Transport Sp. z o.o., registered office at ul. Szumin 8, 62-080 Tarnowo Podgórne, Poland, NIP PL7812061389, KRS 0001072231, and Wacław Antkowiak WAAN Zakład Handlowo-Usługowy, registered office at ul. Popiela 15, 61-615 Poznań, Poland, NIP PL7781002433 (hereinafter jointly: the “Controller”).

The joint controllers have agreed that the point of contact for data protection matters is WAAN Transport Sp. z o.o. A data subject may exercise their rights in relation to either of the joint controllers.

2. What data we process and why

a) Contact form. We process the data entered in the form (name, e-mail address, optionally telephone number, message content) in order to answer the enquiry and carry on the correspondence.

Legal basis: Article 6(1)(f) GDPR (the Controller’s legitimate interest — handling enquiries) and, where the enquiry is aimed at concluding a contract, Article 6(1)(b) GDPR (steps taken prior to entering into a contract).

Providing the data is voluntary but necessary in order to receive a reply.

b) Contact by telephone and e-mail. Data given in direct correspondence is processed in order to handle that correspondence — legal bases as above.

c) Cookies. The website uses cookies:

• strictly necessary — they make the site work correctly (basis: Article 6(1)(f) GDPR);
• statistical and marketing — only with the consent given in the cookie banner (basis: Article 6(1)(a) GDPR).

Consent may be withdrawn or changed at any time through the “Cookie settings” link in the site footer. The Google map on the Contact page only loads once consent to third-party cookies has been given.

3. How long we keep the data

• correspondence from the form: for as long as the enquiry is being handled and then for up to 12 months after the correspondence ends, unless cooperation begins — in which case for its duration and the limitation period for claims;
• cookies: in line with the browser settings and the periods stated in the cookie banner.

4. Who we share the data with

The data may be entrusted to parties supporting the operation of the website: the contractor responsible for the technical maintenance of the site, the hosting and e-mail provider (cyber_Folks S.A., seohost brand, through the company SELEA), the provider of the form’s anti-spam protection (Cloudflare Turnstile — Cloudflare, Inc.) and — only once consent to third-party cookies has been given — the map provider on the Contact page (Google Maps — Google Ireland Ltd.). The data is neither sold nor made available to third parties for marketing purposes.

Because Cloudflare Turnstile and Google Maps are used, data (IP address) may be transferred to third countries on the basis of standard contractual clauses and the Data Privacy Framework.

5. Rights of data subjects

Everyone has the right to: access their data, rectify it, erase it, restrict its processing, port it, object to processing based on a legitimate interest, and withdraw consent at any time (without affecting the lawfulness of processing carried out before the withdrawal).

6. Security

The website uses an encrypted connection (SSL/HTTPS). The Controller applies technical and organisational measures appropriate to the risk, including restricted access to the data and regular backups.

7. Changes to this policy

This policy may be updated (for example when the site’s features change). The current version is always available at waantransport.pl/en/privacy-policy/.
